Refund & Cancellation Policy
Last updated: September 2026
1. Overview
ProDevly provides custom software development and digital solutions services. Because our services involve significant planning, design and development effort that begins at project commencement, our refund and cancellation policy reflects the nature of service-based work.
We encourage all clients to review their requirements carefully and communicate clearly before a project begins. We are committed to delivering quality work and resolving any issues through open communication.
2. Project Cancellation by Client
Before Work Begins
If a client cancels a project before any work has commenced (i.e., before the agreed project start date and before any deliverables have been worked on), a full refund of any initial deposit paid may be issued, less any administrative or payment processing fees.
After Work Has Commenced
If a client cancels a project after work has commenced, a refund will not be issued for work already completed. The client will be invoiced for the proportion of work completed up to the cancellation date, based on the agreed project milestones.
- If the deposit paid covers the completed work, no further invoice will be raised and no refund will be issued.
- If the deposit paid exceeds the value of completed work, a partial refund may be issued for the difference.
- If the completed work exceeds the deposit paid, the client will be invoiced for the outstanding balance.
Maintenance & Support Plans
For monthly maintenance and support retainers, the client may cancel at any time with 30 days written notice. No refund will be issued for the current billing period. Cancellations take effect at the end of the next billing cycle following the notice period.
3. Refunds for Defective Work
If the delivered work does not meet the agreed specifications outlined in the project proposal, ProDevly will make reasonable efforts to correct the issues at no additional charge within an agreed revision period.
If a resolution cannot be reached after reasonable correction attempts, a partial or full refund for the affected deliverable may be considered on a case-by-case basis.
4. Non-Refundable Items
The following are non-refundable in all circumstances:
- Third-party costs incurred on behalf of the client (domain registration, hosting, licensed software, APIs, etc.)
- Payment processing or gateway fees
- Completed milestones that have been reviewed and approved by the client
- Consulting or strategy sessions that have already taken place
